RossAi Limited (RossAi, we, us) respects your privacy. This policy explains how we collect, use, store and share personal information, in line with the New Zealand Privacy Act 2020. It applies to this website, our communications with you, and the products and services we supply, including WasteLens™, OpsLens™, LabLess™, NAGS™, KōhaPoint™ and AiON™ related systems.

1. Information we collect

Contact details you give us when you email, phone or meet with us, such as your name, organisation, role, email address and phone number.
Business and project information you share with us when we quote for, deliver or support a project.
Site and system data collected by RossAi systems installed for our customers, such as images, video, sensor readings, machine data, device data and dashboard usage data. This can sometimes include images of people at a customer’s site.
Recruitment information such as CVs and application details, if you apply for a role with us.

This website does not use analytics, advertising or tracking tools, and does not ask you to fill in any forms. Our hosting provider may keep standard server logs, such as IP addresses and browser details, for security and to keep the site running.

2. How we use it

To respond to enquiries and communicate with you.
To quote for, deliver, install, support and invoice our products and services.
To operate, maintain and improve our systems, dashboards and AI models.
To consider job applications.
To meet our legal, accounting and regulatory obligations.

We only collect personal information we need for these purposes, and we do not sell it.

3. Cameras and AI systems at customer sites

When we install cameras or sensors at a customer’s site, we do so on behalf of that customer. The customer is responsible for having lawful authority to monitor its site, and for signage, staff consultation, privacy notices and consent where people may be captured.

We design our systems to collect as little personal information as practical. Our systems are built to measure operations, such as machine status, throughput and waste, not to identify individuals, and we blur people in images we use for analysis and model training. If you think a RossAi system has captured information about you, you can contact the site operator or us.

4. Sharing your information

We only share personal information where needed for the purposes above, including with:

Our staff and contractors who need it to do their work.
Partners and resellers involved in delivering a project you are part of.
Service providers we use to run our business, such as cloud hosting, email, accounting and IT providers.
Our professional advisers, insurers, or where required by law or a regulator.

Some of our service providers store information outside New Zealand, for example in Australia or the United States. Where this happens, we take reasonable steps to make sure your information is protected in a way comparable to the Privacy Act 2020.

5. Storage and security

We take reasonable steps to protect personal information from loss, misuse and unauthorised access, including access controls, separation of each customer’s data, and secure cloud hosting. We keep personal information only for as long as we need it for the purposes it was collected for, or as required by law.

6. Accessing and correcting your information

You have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it. Contact our Privacy Officer using the details below. We will respond as soon as reasonably practicable, and within 20 working days.

7. Complaints

If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner at privacy.org.nz.

8. Changes to this policy

We may update this policy from time to time. The current version will always be on this page.
